Adding NEW users to the CMS e.g before training

  • Log into OpenText
  • Click the Server Manager tab
  • Click to expand Administer Users and Groups
  • Click to expand Directory Services
  • Select authldap1

  • Select Edit Directory Service from the Action Menu on the right of the screen
  • The Edit Directory Servicedialog opens
    • Single user
      • Edit the filter field to read (cn=username) where username is the UoA computer username of the participant, e.g. (cn=s03jp8)
    • Multiple users
      • Edit the filter field to read (|(cn=username1) (cn=username2))
      • Example: (|(cn=eng807)(cn=s06rc1)(cn=s04cs4))
    • Click Next to see the name(s) of the user(s) you are importing to verify that you are importing the correct user(s)
    • Click OK
  • Select Import User Accounts from the Action Menu
  • Tick the Import users checkbox to display further options
  • Select Editor from the Import users as dropdown menu

  • Click Next
  • Select the Training – Basic project from the list of projects by ticking the checkbox
  • Click Next
  • Tick the Site Editors checkbox
  • Click OK
  • You’ll see a prompt telling you the import has started – click OK

Module assignment

This must be done on a user-by-user basis.

  1. Click the Server Manager tab
  2. Expand Administer Users and Groups
  3. Expand Users/Groups by Projects
  4. Expand Training – Basic
  5. Expand Users
  6. Select the first participant’s username
    • To check you have the correct user, click Edit User Data from the Action Menu. Make sure the Full name is as expected.
    • Click Cancel once you have checked to exit the dialog
  7. Click Edit Module Assignment from the Action Menu
  8. The SmartEdit checkbox will already be ticked
  9. Tick the Asset Manager checkbox and click OK

Repeat the process for all participants listed on the sign in sheet.

Don’t see a participant, even though you added them as described above?

This can happen when a user has attended training in the past and is attending again as a refresher. They are therefore already in the OpenText system.

When this happens, you should assign the user access to the Basic Training site as follows:

  1. Click the Server Manager tab
  2. Click to expand Administer Users and Groups
  3. Click to expand Users
  4. Open the folder that the participant’s username will appear in – for example, if the participant’s username is com097, open the folder C-D.
  5. Locate the participant’s username from the list and click on it once to select it.
  6. From the Action Menu at the top right of the OpenText window, click Edit Project Assignment.

  1. Scroll down the Edit Project Assignment dialog to locate the Training – Basic project and tick the checkbox alongside it.

Note: The Role should default to Ed.

  1. Click OK

 

Your course participants have now been added to the CMS and assigned access to the Basic Training site.
